To access ODMS Cloud, either via the web portal odmscloud.omsystem.com or via the ODMS Cloud dictation mobile app for iOS & Android, users will need to have an email address and password combination. The email address must be accessible when using ODMS Cloud as two factor verification codes are sent to your email on login for security purposes.
With the ODMS Cloud system there are three types of roles that can be applied to a user:
- Administrator
- Author
- Transcriptionist
ODMS Cloud – Admin Role
ODMS Cloud allows for two administrators who can manage licence allocation, licence request and user setup. An administrator can also have an Author or Transcriptionist role or can just be an office or practice manager without.
ODMS Cloud – Author Role
This role is given to Dictation Authors. With this role Authors can use the free ODMS Cloud mobile app for iOS iPhone or Android or a compatible physical digital dictaphone to send audio to ODMS Cloud for routing to a transcription typist, team or pool of typists defined by your Admin.
ODMS Cloud – Transcriptionist Role
The role is given to transcription typists. With this role Transcriptionists can use the free ODMS Desktop application for Windows or Mac to playback allocated audio while transcribing.
ODMS Cloud Licence
ODMS Cloud licences are a subscription that runs for one year. ODMS Cloud licences can be allocated to either an Author or a Transcriptionist. During their one year term licences can be transferred from one user to another, for example is someone leaves and their role is replaced by someone else. Licences can also be unassigned from an Author and given to a Transcriptionist or vice versa.
ODMS Cloud works by using a licence pool. Licences can be requested and purchased at any time via the portal and will be available in your pool. Individual users, who have “Auto Assign” ticked will be given a licence from the pool, if available, upon expiry.
We recommend buying enough licences in advance to cover all your users for at least a year. Note that licences which are unassigned from a user that go back into the pool have their term paused. For example, if an Author leaves and is not replaced and they have 100 days left on their licence, when the licence is returned to the pool 100 days will remain until the licence is allocated to an Author or Transcriptionist.
Which ODMS Cloud Roles Required a Licence?
Only users allocated an Author or Transcriptionist role require an ODMS Cloud licence. Administrators, who do not also act in the role of Author or Transcriptionist, do not need a licence. If an Administrator is also an Author or Transcriptionist then they will also need a licence.
